Job Purpose/Objectives of an Operations Support Co-Ordinator

Providing operational support to the Heavy Cranes & Transport Division through the accurate administration and collation of all training and compliance administration. Ensuring that processes and procedures are both maintained and continuously improved.  Supporting the Routing function including submission and review of network routing requests. Providing direct administration

Key Responsibilities of an Operations Support Co-Ordinator

  • Accurate collation and submission of Transport Payroll. Accurate recording of Holiday/Absence requests and Tachomaster administration
  • Ensuring that all legal, H&S and industry specific training is planned in line with defined timelines.
  • Responsible for the ordering and allocation of PPE and Company Uniform
  • Undertake audits of all drivers to support the Transport Manager to enforce legal requirements and maintain best practises.
  • Own the end-to-end D365 Transport request process and all associated administrative task including the management of purchase orders.
  • Liaise with Depots, Regional Cranes and Heavy Cranes Divisions ensuring that Transport drivers are complying with the site bookings/ booking requirements.
  • Correctly administering the creation and amendment of Transport entries into D365 to enable the correct invoicing to the customer.
  • Creation and associated maintenance of both Standard Notified Routes and Special Types Movement Orders by the Routing Colleagues, ensuring that notification is made within correct timescales.
  • Quality checking the work of Routes submitted, owning Driver feedback, and conducting fact finding investigations into routing issues as they occur.
  • Provide administration support for the Transport Manager.
  • Supporting Heavy Cranes & Transport with the booking of Hire Cars, Accommodation, Medicals, Inductions etc.
  • Continually seek to improve the way in which the role operates within the business to achieve its objectives.
  • Provide administration support for the Transport Manager.

Person specification

 

•     Strong customer focus with an understanding of customer relationships and business process

•     IT literate and familiar with Microsoft office products- Particularly PowerPoint, Excel and Word

•     Able to able to communicate at all levels, both in verbal & written form.         

•     Excellent time management skills

•     Good organisational skills with an excellent attention to detail

•     Adaptable, flexible, and resilient to change

•     Previous experience working in a busy customer focussed environment
